Softcat’s story: platform consolidation for the modern workspace

As Softcat continues its remarkable journey of growth, our commitment to innovation remains as strong as ever. After 32 years of organic expansion, and the recent acquisition of Oakland, we have continued to evolve with one clear focus - delivering operational excellence and an outstanding user experience across an ever-expanding network of offices.

The challenge: growth, office moves and prioritising user experience

With rapid growth comes change - new offices, relocations and the challenge of maintaining consistency and quality. Our Manchester office move this year is a perfect example. It wasn’t just about finding more space for a growing team, it was an opportunity to reimagine what a modern, connected workspace could be.

We wanted to showcase the art of the possible, creating a space that inspired our customers and created an awesome user experience for staff. The goal was simple, make the office a magnet, not a mandate. In a world where hybrid work is the norm, we understood that the physical workspace must offer something special.

Platform consolidation became the key strategy, promising improved operational efficiency, security and agility. Rather than relying on a single vendor, we focused on building a tightly integrated ecosystem, combining the strengths of multiple partners. 

Listening and learning: the transformation journey

Every transformation starts with listening. We began by carrying out research and gathering feedback from teams across our existing offices, discovering that legacy video conferencing in meeting rooms was a common pain point. These sentiments echoed the challenges faced by the internal IT team, who regularly fielded support tickets around these issues.

So we went back to the market, reviewing solutions, evaluating vendors and exploring how each one aligned with our long-term goals. Cisco emerged as the right partner, offering the innovation and integration we needed to future-proof our workspaces.

The solution: integrated platforms for workspace and network

To bring our vision to life, we needed a seamless blend of technology, connectivity and user-focused design, creating a workspace that works for everyone.

Unified communications

We adopted the Webex platform to manage unified communications. Integration with tools such as ThousandEyes, Cisco Spaces and Microsoft Teams gave us a strong return on investment and a robust, future-proof foundation. 

Wireless and wayfinding

Before moving into the new Manchester office, we conducted a full wireless network assessment to optimise Wifi 6E coverage. With Cisco Spaces, we introduced digital floor plans at reception, helping staff and visitors find free meeting rooms and navigate the large office space easily. This has increased efficiency and enhanced the visitor experience, answering everyday questions like, “Where are the toilets?” or “Where can I get a coffee?”

Switching, management and IoT

Our network backbone was powered by Catalyst 9000 series switches, all monitored centrally via the Meraki Dashboard and providing a simplified blueprint architecture. Meraki sensors now monitor environmental factors like, air quality, temperature, humidity and CO2 levels, as well as tracking power usage. We use this data to support our sustainability goals and make adjustments in real time, such as improving air flow in crowded meeting rooms.

Impact: operational efficiency and enhanced experience

Bringing these technologies together created a connected ecosystem that made daily operations smoother and future changes easier. Platform integration meant we could roll out new workspaces quickly and confidently, and proactive monitoring and assurance scoring allowed IT teams to fix issues before they impacted anyone’s day.

For employees, the benefits were immediate. Connecting to meeting rooms became effortless, whether via USB-C, wireless sharing or Microsoft Teams. The small details, like wayfinding and environmental visibility, made a big difference in creating a more enjoyable experience at work.

Looking ahead: scaling innovation

Our journey is far from over, and our future plans are ambitious. With new offices in the pipeline, we’re scaling this model of innovation, operational efficiency and excellent user experience globally. The same approach and kit that transformed Manchester are now shaping the future of every Softcat workspace.

The long-term vision includes deeper analytics and automation powered by the data we can gather from IoT. From blind control to smart air conditioning, everything will be managed through a unified Meraki Dashboard.
