Project at a Glance

KFC UK & Ireland wanted to integrate AI more effectively across the business, with the Legal team needing support to use Microsoft 365 Copilot for secure, branded document creation and more efficient workflows. Softcat delivered a tailored, hands-on workshop focused on real legal use cases, introduced Microsoft Brand Kit for brand compliant templates, and demonstrated advanced capabilities such as Copilot Studio and agentic automation. The engagement not only improved productivity and compliance but also sparked a cultural shift positioning IT as a strategic enabler and accelerating Copilot adoption across the organisation.

Challenge

KFC was rolling out Copilot organisation wide, but the Legal team lacked understanding of how to apply it safely and effectively to their day-to-day work. They relied heavily on external AI tools for document analysis, which raised security and consistency concerns. At the same time, IT was not widely seen as an enabler, and teams often purchased tools independently. The challenge was to improve legal processes, enhance document quality and compliance, and shift wider perceptions of IT’s strategic value.

Critical Success Factors:

1

Empower Legal to create content with Copilot

Enable the Legal team to use Microsoft 365 Copilot effectively for document and presentation creation.

2

Keep all legal outputs on‑brand and compliant

Ensure branding consistency and compliance across all legal outputs.

3

Deliver practical training for legal workflows

Deliver tailored, practical training that resonates with legal workflows while fostering collaboration between IT and business teams.

Solution

Softcat designed and delivered a bespoke onsite workshop focused entirely on real legal workflows. The team demonstrated how to transform legal tasks into effective prompts, introduced Microsoft Brand Kit to ensure brand consistent documents, and showcased how Copilot Studio can automate routine tasks such as NDA comparison and clause identification. The workshop encouraged collaboration between teams, elevated IT’s role, and opened the door to broader AI adoption across KFC UK & Ireland.

  • Delivered an interactive, on-site workshop tailored to legal workflows and compliance needs.
  • Implemented Microsoft Brand Kit for consistent branding across presentations and documents.
  • Introduced Copilot Studio for advanced automation, including document comparison and clause detection.

Results

The engagement delivered immediate improvements in document consistency, prompt driven efficiency and security by reducing reliance on external tools. The Legal team now produces high-quality branded outputs more quickly, and Copilot usage has significantly increased across the organisation. Automation opportunities such as HR and payroll chatbots and advanced NDA comparison agents are now part of KFC’s long-term AI roadmap. Most importantly, IT is now recognised as a strategic partner, helping drive cultural change and confidence in AI powered working.

  • Improved document consistency and branding compliance across legal outputs.
  • Enhanced operational efficiency through prompt engineering and automation.
  • Strengthened perception of IT as a strategic enabler within KFC’s culture.

Softcat doesn’t just deliver generic training, they listen, adapt and execute quickly. That openness and partnership approach made all the difference.
